End the “which version was that?” question

Feedback lives on the artwork, every round is a version, and approval is bound to a single one — with who approved it, when, and what they said.

Proofing works on the free plan too

From brief to approved delivery

  1. 01

The brief arrives through your intake form and opens as a client-facing task on your board.

  2. 02

You upload the delivery onto that task; every upload is a version. The client opens it in the portal and pins notes onto the artwork.

  3. 03

They approve that version or send it back with a reason — who approved, when, and with what note is all on the record.

Why an approval is a record

An approval is not somebody saying “fine”; it is the answer to a question asked six months later. The product holds that in four places:

Approval binds to a version
What is approved is not “the file”, it is that version. The next upload does not inherit the approval; it asks for a new one.
Who, when, and what they said
The record keeps the reviewer (your team or the client), the time, and the note if there was one. “Approved” is a row, not a flag.
Sending it back requires a reason
A client asking for changes has to write a note. A refusal with no reason is a round the agency has to spend asking what happened.
The version chain stays in agency hands
Clients cannot upload arbitrary files into the version chain or resolve your team’s notes. New files come through intake forms, keeping accountability clear.

What we do not do

These are the things most often assumed on the design side. Here they are before you sign up, not after:

  • Proofing previews images only. A PDF, a video or a design file can be uploaded and downloaded as a version, but you cannot pin a note onto it.
  • There is no Figma, Adobe or other design-tool integration. You upload the delivery as a file.
  • This is not a digital asset manager: no brand library, no license tracking, no automatic format generation.
  • Versions are not compared side by side — you see the version you select, with no overlay.
  • Storage follows the plan: 50 MB in total on Free; 1 GB per seat on Pro (at least 3 GB) and 3 GB per seat on Business (at least 10 GB), with per-file caps of 5 MB, 25 MB and 100 MB.

Frequently asked questions

Do we pay extra for proofing?

No. Versions and pinned notes work on the free plan; the only thing that limits you is storage. A client approving from the portal is part of the client portal, which is on Pro.

Which files can a client see?

Only the attachments on tasks you have published to them. A task is not in the portal until you publish it; internal notes, hours and costs stay behind the wall.

Can we get PDF deliveries approved with comments on them?

Not today. A PDF is uploaded and downloaded as a version, but pinned notes only work on images. If we open that up, it will be in the changelog.

How many clients can we work with?

Portal users never consume a team seat — they are managed through separate client slots, and Pro includes 10 while Business includes 50.
