From Client Request to Invoice: End-to-End Flow
- 01
A client fills in your portal intake form, instantly generating a client-facing task on your board.
- 02
Your team tracks time and uploads deliverables as versioned assets; the client reviews and approves them in the portal.
- 03
Tracked billable hours convert into a clean invoice with one click; your client views it in the portal and pays via your link.
The client wall
The biggest fear with agency tooling is a client seeing something private. Our client wall is reinforced in four distinct ways:
What we do not do
What a tool refuses to do decides as much as what it does. Here are our intentional boundaries upfront:
- We do not process payments directly. Invoices carry your payment link (Stripe, bank transfer, etc.) and you mark them paid yourself; you keep 100% of your funds.
- Proofing previews images only. PDFs and videos can be uploaded and downloaded as versions, but pinned visual notes are reserved for images.
- Turning inbound emails into tasks requires custom provider setup and is off by default — the cleanest intake method is the branded portal form.
- Slack notifications are one-way. Calendars sync as a read-only feed; two-way sync with Google or Outlook is not supported.
- We do not pull metrics from advertising platforms (Meta, Google Ads). Reports focus strictly on team productivity, hours, and budgets.
Frequently asked questions
Do we pay extra for our clients?
No. Client portal users never consume a team seat — they are managed through separate client slots, and Pro includes 10 while Business includes 50.
Can a client see our internal notes or our costs?
No. The portal is a separate authentication layer. Clients only see tasks published to them; internal notes, timesheets, and rate cards stay behind the wall.
Do you take a cut when we invoice clients?
No — KyroTask never touches your money. Invoices carry your own payment link and you mark them paid yourself.
We are a small team — do we need all of it?
No, and you shouldn’t buy what you don’t need. The free plan supports up to 5 members with Kanban, sprints, story points, dependencies, and proofing. Portals and time-to-invoice are on Pro — and all new workspaces start with 14 days of full Pro with no credit card.
