Rate cards and project budgets
How a rate is chosen for an hour, and how a budget warns you before it is spent.
How a rate is chosen
When an entry closes, KyroTask looks for a rate in this order and stops at the first one it finds:
- A project rate card for that project.
- A member rate card for the person who logged the hour.
- The organization default rate card.
Within each of those, the card with the most recent effective date wins. A card dated in the future is ignored until that date arrives, so you can set next quarter’s rates today.
Budgets
A project budget can be set in hours or in money, for the whole project or per period. When usage crosses your alert threshold the organization is notified once — at the crossing, not on every entry afterwards.
The profitability report is Business; cost rates can be entered on every plan. Rate cards, budgets and the billing report are on every plan too — the hours they read come from time tracking, which is Pro.
